You record a gift
Somebody gave through one of your payment links. You enter it on their contact.
You confirm an event payment
Somebody paid for a ticket and pressed I’ve paid. You check your account and confirm.
What updates, every time
You enter it once. There is no second place to update afterwards.

Open the contact
CRM, find the person, open their record.

Add Activity, choose Donation
Enter the amount and a description.

Save
Done. Everything above is now correct.

The claim arrives in your inbox
Top right. You are emailed too.

Check your own payment account
Find the payment by the reference code the attendee was told to use.

Press Confirm
The attendee gets their QR code, and the same places update.
The email is what makes a gift visible to the giver
Harvest tells you this on screen before you save. It is the single most common cause of “why can’t I see my giving?” Statements are grouped by email address, so a gift with no email has nobody to group under. It is skipped entirely — not shown as zero, not filed under “unknown”. It simply is not there.Deleting a contact
Deleting a contact removes their record and their activity timeline.It never deletes their receipts. Your accounting totals and your giving statements do not move when a contact is deleted. The gift stays on your ledger, because it is a financial record.
What happens when there is no contact
Somebody can register for a public event without ever being in your CRM — which is normal for outreach. If you confirm their payment and no contact exists with that email, the invoice is still created and the money still counts. No CRM activity is written, because there is no contact to write it on.Harvest does not create contacts from public event registrations. That would fill your CRM with people who attended once, and spend your plan’s contact allowance doing it.If you want somebody in your CRM, add them.
Gifts are never counted twice
The invoice is the money record. The CRM activity points at it rather than carrying the amount again. This matters if you are reconciling: summing the donation activities in your CRM will not give you your giving total. Accounting and your dashboard are the figures to trust.A weekly rhythm

Whatever you use — PayPal, Revolut, Wise.

Compare against your Harvest total
Anything in your account and not in Harvest is a gift nobody recorded.

Record the gap
Ten minutes, once a week.
What Harvest cannot do
- See a payment arrive. No webhook, no notification, no balance.
- Verify that a payment was made. You confirm; Harvest records what you said.
- Refund anyone. Your payment provider does that.
- Chase an unpaid pledge. Harvest shows you the gap. The conversation is yours.
